We are looking to add a proactive, detail-oriented Project Site Administrator to our team—someone who thrives in a dynamic, fast-paced environment and is dedicated to upholding our high standards of quality and excellence on every project.
Position Summary:
The Project Site Administrator will play a key role in supporting our construction management team with administrative tasks, site logistics, and communications. The ideal candidate will have prior experience in construction administration, a keen attention to detail, and the ability to manage multiple tasks on a busy construction site. This position requires someone comfortable working in a jobsite environment with excellent communication and organizational skills.
Key Qualifications:
Prior experience in construction administration or a similar administrative role on construction sites.
Strong verbal and written communication skills, enabling efficient coordination among project managers, contractors, and team members.
Excellent interpersonal skills for collaborative work with other managers, departments, and onsite personnel.
Superior time-management abilities; capable of meeting deadlines and managing schedules in a deadline-oriented industry.
Proficiency in basic computer applications (e.g., Microsoft Office, email systems) and familiarity with project management software preferred.
Effective project management skills, as scheduling and logistics are crucial in the construction process.
High school diploma or equivalent required; advanced training or relevant certifications in construction administration or project management are preferred.
Primary Responsibilities:
Provide comprehensive administrative and clerical support to the construction management team, ensuring smooth onsite operations.
Collect, organize, and code credit card receipts, and submit scans to the main office for accurate record-keeping.
Serve as the primary point of contact for laydown areas, site office coordination, and overall project communication with external parties.
Manage the logistics for onsite amenities such as dumpsters (scheduling pickups and drop-offs) and portable toilets (maintenance scheduling).
Coordinate food and refreshments for meetings, staff lunches, and onsite events as required.
Answer and direct phone calls, respond to emails, and manage correspondence efficiently.
Review and process contracts, invoices, purchase orders, and other documents with a high degree of accuracy and attention to detail.
Oversee the ordering and delivery of construction supplies, tracking inventory and reconciling orders with project needs.

Mileage reimbursement: $0.70 per mile, to and from the job site as long as you work an 8 hour day
